We only ask for what we need to quote for and complete your work, we keep it safe, and we never sell it. This page explains exactly what we collect and the rights you have.

Who we are

DM Pritchard Plumbing & Heating is a plumbing and heating business based in Cardiff, serving Cardiff, Barry, Penarth and the Vale of Glamorgan. In this policy "we", "us" and "our" mean DM Pritchard Plumbing & Heating.

We are the data controller for the personal information described below. That means we decide how and why it is used, and we are responsible for looking after it.

Information we collect

We only collect what we need to quote for and carry out work. That is:

  • Details you send through our quote form - your name, phone number, the type of work you need, and optionally your email address, postcode and a description of the job.
  • Details you give us directly - anything you tell us when you call, text, email or speak to us at your property, including the address where the work is to be done.
  • Job and service records - quotes, invoices, and any certificates we issue, such as Gas Safe documentation.
  • Technical information - your IP address is briefly checked when you submit the quote form so we can limit spam and automated submissions. It is held only in temporary server memory and is not stored with your enquiry.

We do not ask for or knowingly collect special category data (such as health information), and we do not take payment details through this website.

How we use your information

We use your information to:

  • respond to your enquiry and prepare a quote;
  • arrange, carry out and complete the work you have asked us to do;
  • issue certificates, invoices and receipts, and keep proper business records;
  • contact you about a job already in progress; and
  • meet our legal and safety obligations, including gas safety requirements.

Under UK data protection law we rely on the following legal bases. Where you have asked us for a quote or booked work, we rely on performance of a contract or taking steps at your request before entering one. For keeping records and protecting our site from spam, we rely on our legitimate interests in running the business safely and properly. For gas safety and tax records, we rely on compliance with a legal obligation. Where we use optional analytics or advertising cookies, we rely on your consent.

We do not sell your personal information, and we will not use your details for marketing unrelated to your enquiry.

Cookies and analytics

This site uses a small number of cookies and similar technologies. Some are strictly necessary to make the site work and to keep the quote form secure.

Where enabled, we also use Google Analytics to understand how visitors find and use the site, and Google Ads conversion tracking to measure how well our advertising works. These record events such as a page view, a tap on a call button, or a completed quote form, and may set cookies in your browser. This helps us understand which adverts lead to genuine enquiries.

You can block or delete cookies in your browser settings at any time. Doing so will not stop you using the site, calling us, or sending a quote request. You can also opt out of Google Analytics using the Google Analytics opt-out browser add-on.

Who we share it with

We do not sell or trade your information. We share it only where we need to in order to run the business:

  • Our website host - this site is hosted on Vercel, which processes requests to the site on our behalf.
  • Our email provider - quote requests are delivered to our inbox using Resend, an email delivery service.
  • Google - where analytics and advertising measurement are enabled, as described above.
  • Suppliers and merchants - occasionally we need to order parts or arrange a delivery for your job.
  • Our accountant, insurers and regulators - where required for tax, insurance, or gas safety obligations.

Some of these providers may process data outside the UK. Where that happens, we expect appropriate safeguards to be in place, such as UK adequacy regulations or standard contractual clauses.

How long we keep it

We keep enquiries that do not lead to work for a short period only, so we can follow up and answer any questions.

Where we have carried out work, we keep job records, invoices and certificates for as long as we are required to. Financial records are generally kept for six years to meet HMRC requirements, and gas safety records are kept in line with our obligations as a Gas Safe registered business.

When information is no longer needed, we delete or securely dispose of it.

Your rights

Under UK data protection law you have the right to:

  • ask what personal information we hold about you, and request a copy;
  • ask us to correct anything that is inaccurate or incomplete;
  • ask us to delete information where we no longer need it;
  • ask us to restrict how we use it, or object to us using it;
  • ask for your information in a portable format; and
  • withdraw consent at any time, where we relied on consent.

To exercise any of these, contact us using the details below. We will respond within one month. There is normally no charge.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Keeping your information safe

This website is served over an encrypted HTTPS connection, and quote requests are sent directly to our business inbox rather than being stored in a public database on the site.

We limit access to your information to the people who need it to do the job, and we take reasonable steps to keep our devices and accounts secure. No system is completely secure, but we take this seriously and act quickly if anything goes wrong.

We may update this policy from time to time, for example if we change the tools we use or the services we offer. The date at the top of this page shows when it was last updated.
